Scenario

An installation with an archive of physical files, documents, books needs to administer borrowing and returning of documents by personnel. Documents were handed to persons without much accounting - just by having some sort of notes about who borrowed the files and when. Controlling this process gets easily uncontrollable since people tend to bury files under piles of other documents, or simply forget to bring them back. After a while it becomes next to impossible to retrace the path of documents.

Our application simplifies and accelerates the process of handing out documents, return and tracking in a way that by using barcodes and scanners files can be processed within seconds and using just three mouseclicks.

The application starts by requesting the user to login to the backend system.

After logging in the start screen will be loaded.

Start the application by clicking 'Start Aktenverwaltung'.

Note:

It is also possible to skip this screen and load the app directly. However it can be useful to have this screen to start different applications from it.

The process of scanning is straightforward.

Just scan all barcodes using your scanner. The list on the left side will be updated after each scan and a request to the server will return the detail data for the barcode.

Note:

When using scanners that do not send end of barcode sequences, you would need to press the SUBMIT Button after each scan.

The application supports all scanners that can be used as a 'keyboard'(this should apply to all). Motorola/Symbol and Scanfob Bluetooth scanners are supported by the app natively, others can be easily integrated.

Note:

The 'SUBMIT' button can be used to manually capture codes when not readable.

Barcodes will be taken over into the list immedeately after scanning.

Scanned data will be displayed in a list. Within this list it can then be objects borrowed/returned by simply clicking the corresponding symbol. Users will be assisted with a list(see next screen) of possible borrowers when clicking on the link for 'Borrower'(Entleiher). On returning files the borrower is changed to ARCHIVE automatically.

Online communications are carried out via AJAX requests(asynchronously). Therefore scanning and network communications run parallel and does not influence each other. This enables high throughput and productivity in scenarios where high volumes need to be mastered.
